Whistleblower Policy

Purpose

One Task recognizes the value of transparency and accountability in its operations. This Whistleblower Policy is established to support the organization's commitment to legal and ethical conduct. It provides a structured procedure for employees, contractors, suppliers, and stakeholders to report concerns about illegal or unethical practices within the organization. By facilitating a safe and confidential reporting environment, the policy aims to promote a culture where integrity is paramount and wrongdoing can be addressed promptly.

Scope

The policy applies universally across all operations and countries where One Task operates, ensuring consistency in reporting and investigation processes. It encourages individuals to raise concerns internally first, offering multiple channels for reporting including direct line reporting to supervisors, a dedicated email monitored by Compliance, and written correspondence to Compliance or Legal departments.

Audience

This policy applies to all employees, contractors, suppliers, and stakeholders across all operations and countries where One Task operates.

Objectives

Statement of Policy

It is the policy of One Task to encourage and enable employees and others to raise serious concerns within the organization prior to seeking resolution outside.

Confidentiality

Confidentiality is a cornerstone of this policy. All reports are handled with strict confidentiality, and the identity of whistleblowers is protected unless explicit consent is given to disclose it. Non-retaliation measures are enforced to protect whistleblowers from any form of harassment or adverse consequences resulting from their reports. Support services, including counseling, are available to assist whistleblowers who may experience difficulties as a result of their actions.

Investigation

The investigation procedure ensures thorough and impartial handling of reported concerns. A cross-functional team, which may include members from Legal, HR, and external experts, conducts investigations as necessary. Findings are reported to senior management, and appropriate corrective actions are recommended to address substantiated issues. Violations of the policy may result in disciplinary action, including termination of employment, and in cases of criminal activity, law enforcement may be notified.

Training

Training on the Whistleblower Policy is provided to all employees as part of their initial induction and through annual refresher courses, reinforcing awareness and understanding of reporting procedures. The effectiveness of this policy is regularly monitored and reviewed by the Chief Information Security Officer (CISO), with recommendations for improvements reported to the Board of Directors for approval.
